1. Introduction and acceptance
Welcome to Qubic, operated by GetQubic (Pty) Ltd, enterprise number 2026/301994/07.
These Terms of Service ("Terms") govern access to and use of the Qubic website and web application, collectively referred to as the "Service".
Each person who registers for an account or accesses or uses the Service accepts these Terms for their own use. Continued use after updated Terms take effect also constitutes acceptance of the updated Terms.
A person who creates a Qubic business, selects a paid plan or initiates subscription checkout represents that they have authority to act for and bind that business. Joining a business through an invitation does not, by itself, mean that the invited user has authority to make commercial commitments for that business.
Use of the Service is also subject to the Privacy Policy.
2. Eligibility and business scope
You may use Qubic only if you are at least 18 years old and legally able to accept these Terms. If you take a commercial action for a business, you must have authority to do so.
A Qubic account may own or belong to more than one Qubic business. The following apply separately to each business rather than globally across the user account:
- Plan, trial, usage limits, subscription status and subscription entitlement.
- Business members, roles and permissions.
- Referral code, attribution, progress, credits and additional-month rewards.
- Quote and invoice numbering, business information, branding, customer records and documents.
Invitations join a person to the identified existing business in the offered role. They do not transfer ownership or grant authority beyond the permissions available to that role.
3. Nature and limits of the Service
Qubic helps service businesses create and manage quotes and invoices; share customer-facing documents; record document decisions and payment status; follow up on payments; view business activity; connect an eligible business's PayFast merchant account; and keep basic customer and document history.
Qubic handles the customer-facing journey from quote to payment follow-up. It is not a complete accounting, bookkeeping, tax, payroll or general-ledger platform and does not provide professional accounting, tax or legal advice.
Qubic is not your accountant, bookkeeper, tax adviser, legal adviser, payment provider, agent, broker or representative, and is not a party to transactions between you and your customers.
4. User responsibilities
You are responsible for the accuracy and lawfulness of the business, customer, quote, invoice, tax, banking and payment information you enter or select.
You must review each document, its recipient, totals, VAT treatment, payment details and public link before sharing it. You are responsible for obtaining necessary permissions and consents, complying with applicable laws including POPIA, and maintaining appropriate access for your business members.
Qubic does not guarantee customer response, message delivery, payment, legal or tax compliance, or transaction completion.
5. Public documents, contacts and sharing
A customer does not need a Qubic account to use a valid and currently available public quote or invoice link. Public links are not authenticated customer portals and may stop working when a document is recalled, replaced, expired, closed or otherwise restricted by its lifecycle.
You choose what information enters Qubic, review the document and decide when and how it is shared. For ordinary sharing, Qubic prepares content and opens the application you select; it does not automatically send the document or message on your behalf.
If you choose to open a supported browser Contact Picker, access is permission based and user initiated. Qubic receives only the contact information you actively select, and manual entry remains available.
Qubic does not read or import WhatsApp conversations or use a WhatsApp Business API for ordinary document sharing. Authentication and team-invitation service email are separate communications.
6. Plans and usage limits
Qubic currently provides Starter and Launch plans. Launch is offered in monthly subscription periods. Plans and their usage limits apply per Qubic business.
Quote creation and first invoice sharing are measured by separate counters that reset by calendar month. The current values shown on the Pricing page apply to the relevant plan.
Qubic may change plan features, availability or limits prospectively with reasonable notice, subject to applicable law.
7. Launch trial
An eligible business may receive a 14-day Launch trial. Eligibility and availability are determined separately for each business.
Cancelling during the trial does not immediately remove Launch access. Trial access continues until the authoritative recorded trial-end date. At that date, the business returns to the applicable non-paid state unless a successful Launch payment applies.
Cancellation of a trial does not create a paid subscription or a refund entitlement.
8. Launch subscription and checkout
Launch is currently a monthly plan. The current total amount payable for one monthly Launch period is R99.
Each paid Launch period is obtained through checkout initiated by an authorised business user. Qubic does not currently initiate automatic monthly recurring charges. Continued paid access may require an authorised user to complete another monthly payment when prompted.
Product access and entitlement are governed by the authoritative subscription status and the applicable paid-through or trial-end date recorded for the business.
9. Cancellation and refunds
An authorised business user may cancel Launch using the controls Qubic provides. Cancellation does not immediately remove paid access. Launch remains available until the authoritative end of the current paid period, after which the business returns to the applicable non-paid state unless another successful Launch payment applies.
Trial access similarly remains available until the authoritative trial-end date. Cancellation prevents continuation beyond the applicable paid or trial period unless an authorised user keeps or later reactivates Launch.
Where the application offers the current Keep Launch control, an authorised user may use it to undo a pending cancellation before the applicable entitlement ends.
No prorated refund is promised solely for unused time before the paid-period end, subject always to rights and remedies that cannot be excluded under applicable South African law.
10. VAT, subscription invoices and receipts
GetQubic (Pty) Ltd is not currently registered for VAT. R99 is the total amount payable for the monthly Launch period, and VAT is not added to that amount.
Qubic does not currently promise a tax invoice or a separate Qubic subscription receipt. A payment confirmation from PayFast is not represented as a Qubic tax invoice.
VAT that a business chooses to calculate and display on its own customer quotes or invoices is separate from the VAT treatment of Qubic subscription fees.
11. PayFast and third-party services
Qubic may integrate with third-party providers, including PayFast. Their own terms, privacy practices and availability apply.
A payment initiated for a Qubic subscription is separate from a customer payment through a business's connected PayFast merchant account. PayFast processes those payments. Qubic does not receive, hold or control the business's customer funds and does not store raw customer card details.
Qubic is not responsible for third-party authorization, settlement, reversal, chargeback or availability decisions. Payment and customer disputes remain matters for the business, customer and applicable payment provider, subject to applicable law.
12. Referral programme
Referral participation is scoped to the active Qubic business. Each business has its own referral code, attribution, progress, credits and additional-month rewards. Current referral codes use the QBC-XXXXXX format.
A qualifying referral must involve a genuinely new Qubic account, that account's first Qubic business and a valid code attributed during signup. Existing accounts, self-referrals, related businesses under common ownership or control, close-family or employee referrals, and artificial accounts created primarily for a benefit are not qualifying referrals.
An eligible referred business receives R50 off its first eligible paid monthly Launch checkout. Starter access and the Launch trial do not consume the discount, and a discount is not used if it would reduce checkout to R0.
The referring business becomes eligible for one R50 Qubic subscription credit only after the referred business has completed two successful monthly Launch payments, at least 60 elapsed days have passed since its first successful paid Launch payment, and it has active qualifying Launch status when evaluated. Qualification is evaluated following a successful payment and does not necessarily occur automatically at the exact 60-day point.
Referral credits apply only to future eligible Qubic subscription payments. Whole R50 credits are selected oldest first and only while a positive checkout amount remains. Monthly application is capped by the applicable payable plan amount, and eligible excess credit carries forward under the current programme implementation.
Referral credits are not cash, cannot be withdrawn, transferred between businesses or redeemed for cash, and have no cash-redemption value. Available credits do not expire while the relevant business and programme remain active, but this is not a promise that the programme will remain available permanently.
Every three qualified referrals may produce one additional-month reward. One available reward is applied only after a later successful eligible monthly Launch payment and extends the resulting Launch period by one month. The payment still occurs; the reward does not replace checkout, bypass PayFast or create a standalone R0 checkout.
Qubic may correct pending referral records or suspend pending or still-unapplied benefits on reasonable, verified grounds including self-referral, artificial accounts, payment manipulation, misleading promotion, circumvention, material breach or other verified abuse. The affected business may query the decision and provide relevant information. Already-applied credits or redeemed additional months are not automatically reversed, subject to applicable law.
Qubic will provide at least two months' notice before materially changing or ending the referral programme, subject to applicable law. Changes apply prospectively. Applied benefits remain unaffected; the treatment of pending, qualified and still-available benefits will be stated in the notice.
Referral disputes or questions should be sent to info@getqubic.co.za with the relevant account email, business name, referral code, payment or reward date, status and supporting information.
13. Acceptable use
You may not use the Service to:
- Commit or facilitate illegal activity, fraud, harassment, spam or malicious conduct.
- Impersonate another person or business, misrepresent authority, or create misleading customer or payment information.
- Interfere with, disrupt, probe, reverse engineer or circumvent the Service, its access controls, limits or security measures.
- Attempt unauthorized access to another account, business, document, system or data.
- Misuse public links, customer payment functionality, PayFast integration or referral benefits.
- Upload, share or use content that infringes privacy, intellectual-property or other third-party rights.
14. Data protection and POPIA compliance
Qubic processes personal information in accordance with applicable data protection laws, including POPIA.
You are the Responsible Party for customer data. Qubic acts as an Operator processing data on your behalf.
You agree that you have lawful grounds to process personal information, will obtain required consents, and are responsible for data-subject requests.
Qubic will implement reasonable safeguards and, where required by law, notify users of data breaches.

15. Intellectual property
All rights, title and interest in the Qubic platform remain the exclusive property of Qubic. You are granted a limited, non-exclusive, non-transferable licence to use the Service.
You may not copy, modify or reverse engineer the platform; create derivative works; or resell or sublicense the Service without permission.
Any feedback you provide may be used by Qubic without restriction or compensation.
16. Service availability
The Service is provided on an "as is" and "as available" basis. Qubic does not guarantee uninterrupted or error-free operation.
Qubic is not liable for downtime or system interruptions, delivery failures in external messaging or email applications, or third-party outages, including payment providers.
17. Limitation of liability
To the maximum extent permitted by South African law, Qubic shall not be liable for indirect, incidental or consequential damages; loss of profits, revenue or business opportunities; data loss or corruption; or disputes between you and your customers.
Qubic's total liability shall not exceed the fees paid by you in the three months preceding the claim.
Nothing in these Terms limits liability or excludes rights where such limitation or exclusion is not permitted by law.
18. Indemnification
You agree to indemnify and hold Qubic harmless from claims, damages or liabilities arising from your use of the Service, your transactions with customers, your breach of these Terms, unlawful messaging or communications, or violations of POPIA or other applicable laws.
19. Account security
You are responsible for maintaining the confidentiality of your account credentials and for authorized activities that occur under your account.
You must notify Qubic promptly of suspected unauthorized access or a security breach.
20. Suspension and termination
Qubic may suspend or terminate access if you materially breach these Terms, if required by law, or where reasonably necessary to prevent harm, abuse or legal risk.
You may stop using the Service at any time. Subscription cancellation and entitlement end dates remain governed by the cancellation section above.
Qubic may delete or anonymize data after termination, subject to legal and operational obligations.
21. Force majeure
Qubic is not liable for failure or delay caused by events beyond its reasonable control, including power outages, network failures, third-party service disruptions, acts of nature or government actions.
22. Changes to these Terms
Qubic may update these Terms from time to time. Material changes will be communicated with reasonable notice. Continued use of the Service after updated Terms take effect constitutes acceptance of the updated Terms.
23. Governing law and jurisdiction
These Terms are governed by the laws of the Republic of South Africa. Disputes shall be subject to the jurisdiction of the courts of South Africa.
24. Entire agreement
These Terms constitute the entire agreement between you and Qubic regarding the Service and supersede prior agreements.
